Privacy Policy

This policy explains what information Mosaic Select (operated by Olithar Inc.) handles and how. Mosaic Select is software that dental practices use to run their own membership benefit plans.

Information we handle

• Practices and their staff: practice name, address, phone, office email, and the names and email addresses of people given access to the dashboard.
• Members: information a practice enters or a member provides when joining, such as name, email, chosen plan and extras, join date, payment status, and which included visits have been used.
• Payments: card and bank details are entered on Stripe's secure pages and kept by Stripe. Mosaic Select never sees or stores full card or bank account numbers.
• Website visits: basic technical information (such as browser type and pages visited) kept by our hosting provider for security and reliability.

How it's used

Only to provide Mosaic Select: to show practices their members and payments, to bill memberships through Stripe, to send sign-in links and receipts, to keep the service secure, and to support the practices we work with. We don't sell personal information and don't use member information for advertising.

Who we share it with

• The member's practice (and, for practices in a dental group, that group's administrators).
• Stripe, which processes payments and verifies practices' identities.
• Google Cloud, which hosts Mosaic Select and its database in the United States.
• Others only when the law requires it.

Health information

Where member information is protected health information under HIPAA, we handle it on the practice's behalf under a business associate agreement, and use it only to provide the service.

Security

Information is encrypted in transit and at rest. Access is limited by role: practice staff see only their practice, and group administrators only their group. The database is backed up daily.

Keeping and removing information

We keep information while a practice uses Mosaic Select and as needed to meet legal and accounting obligations. Members who want their information changed or removed should contact their practice; practices can contact us to remove their account's information.
